*The following guidelines and policies only apply to registrations and payments made directly with Advantage Tennis.

 

Satisfaction Guaranteed

If you are not satisfied with the coaching you receive, you may be entitled to a refund. In order to receive a refund you must let Advantage Tennis know immediately after the class, and provide the reason for  your dissatisfaction. Please understand:

  • We provide a variety of types of programs that are holistic.  All of our kids lessons, and most of our adult lessons, are skill acquisition centered and include more than just athletic technique.
  • Other programs such as Drills or Cardio Tennis could be more game and play-with-your-skills oriented.
  • Programs from other providers will be different from us.
Flex Programs

Flex Priced and Scheduled Programs include 

  • Private, 
  • Semi-Private 
  • Family Private
  • Self Formed Groups 

You will choose your payment preference at the time of registration, however you may change at any time:

  • Pay through our website through Convenience Payments
  • Pay by cash or check to your coach
  • Pay via invoice sent by Advantage Tennis through PayPal

For Self-Formed Groups, players will be charged based on the number of individuals in attendance, according to our private and SFG rates. Regardless of if you register as a Self-Formed Group,

  • If 1 Player attends, they will be charged a private rate.
  • If 2 Players attend, they will be charged a semi-private rate. 
  • If 3 players attend, they will be charged a SFG rate. 

All Family Privates, no matter the number of players in attendance, will be charged the Family Private Rate, unless the accounting team is notified in advance of any switch to a private.

If you choose to pay yourself through our website when you register, we expect payment after the 1st lesson.  If you do not remit payment by the 3rd lesson, Advantage Tennis will send an invoice to your registered email address, and no more will be scheduled until the first 4 are paid.


Fixed Price Programs

Our Fixed Price Program policies apply only to Advantage Tennis-formed groups. Some of our Sponsors, including Alexandria City Recreation, have their own policies and processes for payment. It is up to the player to contact the appropriate sponsor for any questions on payment, refunds, etc. 

Payment is due at the time of registration and will hold your spot in the class. If no payment is made, you may lose your chance to attend if the class fills prior to submission of payment


      Prorated Pricing

      Prorating may be available if you request and are approved before the session starts. You must contact Advantage Tennis prior to registering for a class as a different registration may be needed. Please reach out at least 2 weeks prior to the start for the best chance for approval. 

      In the event that the class has weather cancellations on days you are originally unable to attend and you attend the makeup, you will receive an additional invoice by the end of the session for the prorated amount.


          Refunds

          Most refunds occur with registered players in a class that does not run due to minimums, club/sponsor re-prioritization, or for multiple weather cancellations.

          All refunds are paid with an e-check that can be deposited electronically or printed and deposited. Refunds are typically processed within 3 weeks. The check can either be deposited digitally or printed. We do not process refunds to the original form of payment.

          If you or your child is removed due to inappropriate conduct, you will only be eligible for a partial refund of the remaining classes in the session. 

          In the event of a class being filled to waitlist status, we do our best to get the online system to remove the required payment link. In the event that you have paid, but are not able to attend the class due to capacity, our team will contact you for alternate class options. In the event those do not work, you will receive a refund. 

          If you are truly unhappy with your experience after your 2nd lesson, we stand behind our Satisfaction Guaranteed Policy and will refund your purchase. We would like the opportunity to remedy your unhappiness so please communicate with us as soon as possible.


          Cancellations

          Advantage Tennis Initiated Cancels for Group Classes

          There are three types of cancellations we sometimes encounter. We reserve the right to cancel classes prior to the start due to under enrollment. Additionally, individual lessons may be cancelled due to weather or other conflicts in the season. 

          • Club / Sponsor Cancelation

          The facility owner could change or cancel classes for their own reasons, and most commonly due to maintenance or special events. If the Club cancels or changes our class offerings, we will work with you to makeup the classes or refund you.

          • Under-Enrollment

          Every class offered by Advantage Tennis has a minimum and maximum number of players. If a class does not meet the minimum number of players, we may cancel the class. We strive to give players as notice as possible and communicate on status updates prior to the first class. If a class is under-enrolled, we may offer alternate options for classes.  If no alternative class works, you will receive a full refund in accordance with our refund policy. The refund will  be via an e-check from Checkbook IO and may take up to 3 weeks from the cancellation to be received. 

          • Weather and Natural Events

          You will not be charged for a cancellation due to the weather.  We build in makeup days for group classes where possible. In the event that cancellations exceed makeup days, registrants may be eligible for a prorated refund.

          If a class is playing and bad weather strikes, forcing the coach or players to cancel the class, there will be no make-up or refund if the class was 51% or more complete when it had to be stopped.

          • If bad weather strikes 15 minutes into a class, causing the remainder of class to be cancelled, there will be a make-up or refund for this class.
          • If bad weather strikes over 50% or more into a class, causing the remainder of class to be cancelled, there will NOT be a make-up or refund for this class.

          Player Initiated Cancellation

          In the event of an emergency, please contact your coach or the support staff to notify them of any absences. Prorated Refunds will not be given to any missed classes notified in season, unless under extreme circumstances. It is at the discretion of the Accounting Team to determine if you are able to receive a prorated refund. Additionally, there will be no make-ups beyond what is determined for the group for individual absences due to vacation, sickness, etc. Please contact Advantage Tennis prior to registration if you have dates you will not be in attendance for your best chance of a prorated amount.


          Withdrawal & Waitlist Refunds

          Withdrawal

          • We structure classes and assign coaches based on participation numbers among other factors, and in the event of late notice, this could significantly alter the course of a class or classes.
            • If you provide notice at least 1 week prior to the start of a group, you are eligible for a full refund or credits toward future programming less a 5% cancellation fee.
            • If you withdraw from class between 48 hours and 1 week of the start of class, you are eligible for a 50% refund or credit towards future programming. 
            • If you cancel within 48 hours of the start of class, or after the class has started, you will not receive a refund. 
            • If you fail to notify Advantage Tennis prior to the start of the first class but do not attend, you will not be eligible for a prorated refund or credits.

          Waitlists

          • In the event of a class being filled to waitlist status, we do our best to get the online system to remove the required payment link. In the event that you have paid, but are not able to attend the class due to capacity, you will receive a full refund. 


          Financial Aid & Bounced Fees

          Financial Aid

          • In the event that you are experiencing any personal financial complications, we can offer minor payment plans at our discretion. You must communicate with us in order to be eligible for these. The sooner that you let us know, the better we can help you!

          Bounced Fees

          • For bounced check fees, at minimum you will be charged any fees levied by our or any other banks due to a returned, bounced, or Non Sufficient Fund (NSF) check in addition to owing the original amount due.
